Business events (BE) struggle to prove their effectiveness, since measuring event performance is still not the rule. This limits the growth potential of BE compared to other communication tools.

“EffiScore AI” reduces complex performance measurement to just a few clicks: Using artificial intelligence, the appropriate questions for each type of BE is automatically selected from a database and combined into a questionnaire. The necessary software is provided cloud-based as SaaS and also enables the survey to be distributed and analysed automatically. Through its intelligent participant surveys, “EffiScore AI” helps to improve event concepts—for more exciting, more inspiring, more successful events.

Event Information Modelling (EIM), inspired by BIM, offers a digital 3D representation of events, venues, and festivals, enhancing planning, coordination, and execution.

It enables improved collaboration, accurate planning, cost/time efficiency, and sustainable practices. EIM supports immersive tech (AR/VR), digital twins for recurring events, and standardized workflows. De Blauwer Production aims to study BIM, map current event planning methods, engage with software developers and government bodies, and publish findings to promote EIM adoption in the entertainment sector.

AI agents discover and interact with these verified sources for event planning: checking availability, comparing options, booking services with blockchain traceability. Event organizers benefit from reduced verification overhead, automated vendor discovery, and EU AI Act compliance. Our MCP-as-a-Service platform transitions Barcelona's events ecosystem from websites to AI-native interfaces, creating verified touchpoints that agents seek and pay to use, positioning Barcelona as the intelligent destination for business events.

Marketplace for Legacy (M4L): a digital platform that enables Convention Bureaus and event organizers to design, activate, and monitor the social legacy of their events in a structured, measurable and collaborative way.

OutBe’s Pavilion for People is a pilot digital space designed to make global conferences more accessible, inclusive, and sustainable.

Activated from June 2 to 13 alongside the UN Ocean Conference in Nice, it enabled broader international participation by overcoming barriers of distance, cost, and access. The platform hosted interactive sessions on transformational learning, storytelling, and cross-sector collaboration, with a strong focus on amplifying women's roles in Ocean conservation across sport, science, policy, communication, and art. It sets a new standard for inclusive, virtual-first event solutions.

Ruralis is a tech-powered platform that simplifies short-term rental management in rural areas.

By integrating with major travel platforms and using AI-driven tools for pricing, calendar sync, and compliance, it empowers local property owners to optimize operations and boost income. With BEFuture’s support, Ruralis will expand its features—like predictive analytics and IoT-based monitoring—and reach more underserved regions. The project promotes sustainable, decentralized tourism and enhances the digital transformation of rural hospitality within the business events ecosystem.

Our project tackles a major challenge in the business events sector: unclear RFPs and incomparable proposals. Too often, associations struggle to compare “apples to apples,” leading to inefficient and non-strategic decision-making. We’re developing a built-in tool within the existing Conferli platform that guides associations in creating stronger, more structured RFPs and enables easy comparison of destination and venue proposals. This helps ensure transparent, fair, and future-focused conference selections.

CISPE is developing a SaaS tool to digitalize and structure event safety engineering.

We’ve selected a developer and are securing intellectual property and cybersecurity with experts before launch the developpment. The software will centralize all safety planning tasks—from risk analysis to live coordination. IDEA, The Groundbreakers, and Green Events join their expertise and ambitions to create a specified Sustainability Ladder Business Events tailored to the needs of business events in the Netherlands. The ladder aims to facilitate and standardise sustainability in the business event sector by creating a structured, motivating growth model. The model aims to:

• Harmonise criteria: Provide a unified framework with professionals from the industry
• Support agencies, venues, and suppliers in assessing their current sustainability practices and advancing at their own pace toward higher ambition levels.
• Encourage consistency in practices while allowing flexibility for pace, ensuring broad participation.

Tcheen is developing a carbon estimator integrated into its marketplace dedicated to eco-responsible events.

This innovative tool allows businesses to compare service providers' quotes not only by price but also by carbon footprint. By providing simulations during the selection process, it facilitates sustainable decision-making and promotes responsible practices. Objective: reduce the carbon footprint of booked events by 50% while raising awareness among industry stakeholders and positioning Tcheen as a leader in sustainable event planning.

Our aim is breaking down barriers to sustainability for SMEs in the event sector.

Our project focuses on a smart, user-friendly tech tool that guides businesses through ISO 20121:2024 step-by-step, making self-certification simple and achievable. By piloting with German SMEs and refining through workshops, we will deliver a validated tool with insights for scalability. We are refining the prototype towards a game-changing solution powered by AI and ISO expertise. Logistics providers benefit from better operational planning. Meetreet is a B2B platform that connects companies with locations for team events, offsites, workations and workshops.

The goal is to redefine business travel by making it easy to find and book eco-conscious venues that align with modern work and tech oriented. Through curated listings, integrated teambuilding experiences, coaches and smart booking tools, meetreet enables companies to plan meaningful gatherings that support team culture and sustainability.
